Picking a maintenance-management platform: which features actually stop firefighting and enable scheduled upkeep?
For teams that moved from constant reactive fixes to planned maintenance, which platform features made the biggest practical difference? Please share first-hand examples (role, industry, scale) and concrete outcomes where possible.
Specific things I’m looking for:
- Workflow & work-order handling: how did you structure PMs, priorities, approvals, and backlog management so recurring work actually happens?
- Parts/inventory tracking: what inventory features or processes prevented parts shortages and sped mean time to repair?
- Mobile field tools: what mobile capabilities (offline, photos, signature, step-by-step tasks) changed tech behavior on site?
- Analytics / KPIs: which dashboards or KPIs you relied on (e.g., % planned vs reactive, MTTR, MTBF, backlog age) and how you used them to change behavior?
- Integrations: real examples of ERP, procurement, IoT/SCADA, or condition-monitoring integrations that removed manual work or enabled alerts
- Predictive capabilities: any ML/condition-based features you actually used? Were they useful or more hype?
- Trade-offs and vendor red flags: things you wish you’d known before buying or during rollout (e.g., limited APIs, clunky mobile UX, data migration surprises, hidden costs)
Please include measurable impact if you can (reduction in emergency work, time-to-value, inventory carrying changes, cost savings). If you have templates (PM checklists, KPI dashboards, migration playbook) or short war stories, share or describe them. Vendor-neutral answers preferred.
